As the Group Leader, you play an important role in ensuring everyone in your party has a smooth and enjoyable experience. To help you get started, here are some key details and helpful information to share with your group ahead of your stay.
We’ve tried to cover all the other ‘Need to Knows’ in the following details.
The below information is correct at the time of booking, but we’d also ask you to look out for and read thoroughly our Pre-Arrival email, which we typically send around 5 days before your break starts for the most up-to-date information about your stay.
Your Fully Inclusive Break
For over 100 years, we have prided ourselves on the inclusive nature of our breaks, with accommodation, food, entertainment, a whole host of sports and leisure facilities as well as lots of fun activities available, all included in the price you paid. Well, that inclusiveness now covers your drinks too; that final (and pesky) cost that so often adds up when on holiday.
Your drinks are inclusive from 3.00pm on arrival day, from 8.30am every other day to close of bars, and up until 10.30am on your departure day.
We actively discourage irresponsible drinking and so drinks with ultra-high Alcohol By Volume or caffeinated drinks, such as Shots, Liqueurs and Energy Drinks, are not included.
We also carry a list of premium items for purchase, as alternatives to the popular brands included, free. This includes a Premium Wine list in addition to the 8 grape varieties we offer free - including for example Taittinger Brut Reserve NV Champagne instead of the free Prosecco. We also have a premium spirits menu on request with, for example, Grey Goose Vodka instead of the branded Smirnoff Vodka that is included along with most other popular spirit brands.
Entertainment has always been a key feature of a Potters Break, with the very best live entertainment featuring our top singers and comedy characters day and night across the Resort. Our entertainment has been designed to complement your holiday, allowing you to either enjoy music as the perfect background to your fun evening, or to sit down and be entranced, watching brilliant performers entertain you live with everything from 60s favourites through to the here and now.
Our Pre-Arrival email will provide the latest information regarding entertainment. While on every break you will enjoy a full and varied programme, please note entertainment is subject to change and we cannot guarantee any particular performance or performer due to holidays, sickness or injury.
Given the nature of our Fully Inclusive Breaks, all facilities and venues are for resident guests only.
Arrival at the Resort/Check-In
We are delighted to be able to welcome you on Resort from 12pm, access to your accommodation is available from 3pm. Drinks Inclusive is available from 3pm on arrival day however, drinks can be purchased prior to this time.
Early Check In is available for Group Bookings at £20 per room and must be booked in advance. Early Check In allows you to access the Resort from 11am and your room(s) will be available from 12 noon. Please note Drinks Inclusive will be available from 3.00pm, however drinks can be purchased at the bars prior to this time. Early Check In is limited for each date and is subject to availability at any time.
Depending on whether you are arriving by Car or Coach, either the Group Sales Team or our Reception Team will present you with welcome pack on arrival, which will contain all the essential information and items that you need for your break, including guest wristbands which you will be required to keep on for the duration of your break.
We will contact you nearer the time of your Break to discuss your arrival arrangements, and if you are arriving by Coach we will provide you with personalised luggage labels and all the information you need to ensure a smooth and safe arrival.
Arrival Lunches & Garden Party
If you are planning to arrive in time for lunch, we can offer you the opportunity to pre-purchase a two-course arrival lunch at a reduced rate of £9.95.
Please note that spaces are limited on the day and we’re unable to guarantee availability upon arrival. The on-the-day price is also slightly higher at £19.95 per person.
Why not call our Group Sales team on 0333 3207 474 to reserve lunches for your group. Tables will be given on the day for arrival lunch and your allocated table for your break is available from dinner.
Please note we are unable to offer Arrival Lunches on World Bowls Breaks.
After lunch, you can enjoy our fabulous Garden Party. This is not just an event but an afternoon packed with laughter, relaxation and unique entertainment, the perfect beginning to your break. Our entertainment team can’t wait to see you for an afternoon of fun and games with a delightful mix of comedy, great music and a fun quiz or two.
Please note, Arrival Lunches and The Garden Party are not available on any break that is not in the brochure (such as Taster breaks).
Group Friends Additional Saving
As a Group Leader, you are automatically enrolled as a complimentary Friends Club member once deposits on your first group booking have been paid. This means that as well as the exclusive Group Savings, you will also have access to fantastic savings and exclusive benefits, including last minute deals and special one or two night breaks not featured in our brochure, for you to enjoy on a Break away from your Group.
As a Friends Club Member, you are welcome to refer friends or family members to join for an annual fee of £49 per person (we recommend this for those who visit Potters Resorts more than once a year to maximise their benefits).
Additionally, any Friends Club Members included in your Group Booking will receive an extra £25 saving on top of the Group Rate for breaks booked under the Potters Resorts Group Savings and Incentives Structure. The relevant email address linked to the Friends membership must be provided at the time of booking for the £25 saving to be applied. We are unable to apply this additional saving once the balance has been paid.
General Information
Whilst contagious bugs such as Norovirus & Coronavirus can be present in the general population and can affect any public space and are beyond our control, we ask that during your break with us you take appropriate personal responsibility and continue to help protect your fellow guests and our team, with the overall aim of “reducing risk to the lowest reasonably practical level”.
Reception
At Hopton-On-Sea, Reception is open from 8.00am to 10.00pm and can also be contacted by calling 01502 734340. Outside of these times, you can call 07810 266588 to speak to our Security Team, who are also contactable via the yellow emergency phones around the Resort.
At Five Lakes, Reception is open from 8.00am to 10.00pm and can also be contacted by calling 01621 868888. Outside of these times, this number will go to our Security Team, who are also contactable via the emergency phones around the Resort. Please refer to your resort map to see where they are located.
Accommodation
We operate a daily housekeeping service (excluding Bungalows on Sundays at Hopton-On-Sea), however if you do not wish for your accommodation to be serviced during your stay then please advise Reception as soon as possible after your arrival. If you choose not to have your accommodation serviced, but require any fresh towels, toiletries, or tea, coffee, sugar, etc, replenished, then these are available from Reception for collection or alternatively, we can deliver them to your accommodation if you prefer.
Departure
As we will have done prior to your own arrival, we need to fully sanitise rooms and the entire Resort before allowing access to new guests. For this reason we must insist all accommodation is vacated by 10am on your day of departure. Departure time from Resort will be advised in your pre-arrival information but should be no later than 12pm. For your convenience, you can drop your keys in the drop box with the gatehouse porter as you’re exiting the Resort.
Restaurant Dining
Our breaks are full board which means a hearty breakfast, delicious lunch and a three course evening dinner on each full day of your stay. You can also enjoy a late night snack if you are feeling peckish. For meal times, please refer to your Guest Arrival information.
You must advise us of the special dietary requirements of any members of your party at least 48 hours prior to the start of your break. On arrival, please visit our Restaurant Team as early as possible and no later than 5pm to discuss your specific requirements with our chefs, as they will be busy during service.
Free-to-Enter Bowls Tournaments
Bowls Tournaments are available on most midweek breaks at both of our Resorts and run alongside the typical indoor bowls season between September and May (excluding school holiday breaks at Hopton-on-Sea only).
If you wish to take part in the tournament, it is important that you have registered your Guests as Bowlers at the time of booking. A Bowls Team Form will be sent for you to complete and return to us prior to your Break to allow our Bowls Co-ordinators to plan the tournament in advance, therefore it is not possible to enter at late notice or on arrival.
We also ask that you pop along to the Bowls Desk on arrival to ensure that all information provided is up to date and relevant.
On our Midweek Indoor Bowls Tournaments, teams will typically play four round robin games (occasionally three depending on participant numbers) of up to 90 minutes per game, before the top performing teams move through to the knockout stages towards the end part of the break.
At Five Lakes where we play Pairs and Triple Tournaments, we play with three woods for our Pair games and two wood for our Triples games.
Back to Back Breaks
If you have booked adjoining breaks, no activities will be scheduled until the check-in time of the second break. Guests are welcome to relax on or off Resort and drinks will remain inclusive during this time. Please note that entertainment will be repeated during your stay.
Additional Terms & Conditions for Fully Inclusive Breaks
The general Potters Resorts Helpful & Important Information, and the Booking Terms and Conditions, as detailed in the current brochure and on the main Potters Resorts website, apply to all bookings. In addition, the following clauses apply to all bookings on Potters Resorts’ Fully Inclusive Breaks:
1. If any guest experiences any symptoms that are Coronavirus or Norovirus related whilst on Resort, you must make this known to Potters Resorts’ Management in order for the staff looking after you and your accommodation to be advised. The team will make arrangements for all guests who are sharing accommodation either to be isolated or if well enough to leave the Resort. All monies paid from the time of the break’s termination will be refunded, but only if the guest reports their condition immediately and exercises full compliance with management requests to help protect the well-being and safety of all guests and team members.
2. The facilities and activities listed, and the entertainment offering described, on the Potters Resorts website (https://www.pottersresorts.com) is intended for guidance only. It is likely that some facilities and activities will not be available, whilst others not detailed will be. The entertainment offering is also subject to change and we reserve the right to do so without prior consent. Bookings are accepted in good faith and on the understanding that any specific facilities, activities, entertainment or service will not be operated against any prevailing government guidelines and this is not cause for compensation or non performance of our contract. We will always aim to provide the best experience possible whilst always putting our guests, our teams and our community’s safety first and foremost at all times.
